General Meeting Information

Meeting Site - Western University:

The ASV 2015 meeting welcomes you to participate in the 34th annual meeting at Western University, London, Ontario, Canada, July 11 to 15, 2015. The ASV keynote address and morning symposia will take place in Alumni Hall on campus. Poster sessions are scheduled in the Great Hall and concurrent workshops will be held in various locations on Western's beautiful main campus, all within easy walking distance. The Saturday Veterinary Virology Club Satellite Symposium will be held in the Arts & Humanities Building and the Ecology & Evolution Club Satellite Symposium is held at Somerville House. The City of London comes alive with art, entertainment, cuisine, amazing shopping and much more - with truly something for everyone!

Meeting Registration and Message Center:

On-site registration for ASV 2015 and the two (2) Saturday Satellite Symposia as well as distribution of conference materials (name badges, bags, drink tickets, etc.) will take place at the Great Hall, which is open Friday 4 - 8 PM, Saturday 7:30 AM - 10 PM, Sunday 8 AM - 7 PM, Monday & Tuesday 8 AM - 5 PM, and Wednesday 8 AM - 1 PM. Saturday Satellite Symposia participants are encouraged to pick up their materials on Friday 4 - 8 PM to avoid the early morning crowds. ASV 2015 name badges are required for entrance to all conference events, including all socials and meals and should be worn at all times during the meeting. A message board for ASV participants will be located near the ASV Registration Site.

SPEAKERS - Workshops and Satellite Symposia:

ASV presenters must report to the Speaker-Ready Room (in the Sommervile House building) at least 3 hours prior to the start of their session with their PowerPoint presentation saved on one of the following formats: USB Flash Drive, CD-ROM, or DVD-ROM (no other formats can be accepted). Speakers MUST preview their presentation before ASV staff downloads it on to the server. Presentations should be developed in PowerPoint (or a compatible version; i.e., Mac PowerPoint for OSX) using standard system fonts. Workshops will have a projector (LCD) supporting XGA and a PC equipped with Windows XP and PowerPoint 2007 or higher. Personal laptops CANNOT be used. There will be limited support for full-motion videos (.mpg, .mov, .wav, or .avi formats). DO NOT embed videos into your PowerPoint presentation. No overhead projectors or slide projectors will be available. Workshop talks are limited to 12 min with 3 min for discussion. Saturday Satellite symposium speakers may download/preview their presentations on Friday 5 PM - 8 PM in the Speaker-Ready Room.

POSTERS - Great Hall:

Two independent poster sessions will be held in the Great Hall. Session I posters should be assembled in their assigned space from 8 AM - 1:15 PM on Sunday. All Session I posters MUST be removed by 10:30 PM on Sunday. Session II posters should be assembled from 8 AM - 1:15 PM on Monday. Authors must be present to discuss their posters from 4 PM - 6 PM during their assigned session, either Sunday or Monday. Poster size must not exceed 4 ft x 4 ft (120 cm x 120 cm) - poster board fasteners will be provided. All Session II posters MUST be removed and claimed by 10:30 PM on Monday.

Conference Social Events and Dining:

The ASV 2015 Welcome Reception will be held Saturday 3:30 - 5:30 PM at the ASV Social Tent on campus. Evening socials will also be held at the Social Tent from 9:00 - 11:15 PM. The Tuesday Night Dinner will be held in the Social Tent from 6:00 to 7:30 PM. Tickets are NOT required for the Tuesday Dinner as this event is included in the meeting registration fee. The dinner will be followed by entertainment and the dance from 8:30 PM to 11:30 PM. Your NAME BADGE must be worn for access to all ASV scientific sessions, conference events, social events, and meals.

Meeting registration includes admission to the Welcome Reception on Saturday, all ASV scientific sessions, poster sessions, morning refreshment breaks, three (3) box lunches (Sunday, Monday and Tuesday) and two (2) dinners (Sunday and Monday) in the (Perth and Ontario Dining Halls) , the Tuesday Dinner, evening socials, and admission to the dance on Tuesday evening. Guest registration includes admission ONLY to the Saturday afternoon Welcome Reception, the Tuesday night Dinner, and evening socials; no admittance to conference scientific sessions is allowed to Guests.

Medical Assistance:

Full medical services are available at University Hospital, located on campus. The main number is (519) 685-8500 and (519) 663-3197 for the Emergency Department. For local Fire, Police, Rescue/Ambulance, call 9-1-1 from your cell phone or Campus phones, indicate your location on Campus, and the operator will assist you.

Email, Internet Access & Banking:

Each participant will receive in their registration materials a username and password to access campus-wide wireless Internet. For banking, automatic teller machines (ATMs) are available at the Sommerville House, the University Community Center and at Perth Hall

Transportation:

London International Airport is approximately 20 minutes by car to campus. Visit www.asv2015.uwo.ca for more information and to receive the negotiated discounted meeting rate for shuttle service from the airport to Western University. Robert Q provides regular shuttle service between the Toronto and Detroit airports and London.

By car: London is located at the convergence of major highways 401, 402 and 403 and only 2 hours by car from both Detroit and Toronto. Detailed visitor information and maps are available on the conference website.

On-campus Parking:

Parking for all participants is complimentary for the duration of the conference July 10th to 15th. Parking is available in the Huron Flats Parking Lot (by TD Stadium) as well as the Althouse Parking Lot. There is accessible parking at the front of each residence. Please unload at the front of the residence and then park your vehicle. Note: Vehicles left unattended in the circle or at the front of the residences will be ticketed ($100/vehicle).
